Your Personal Data and the East Midlands Geological Society (EMGS)
Your confidentiality is protected by the Data Protection Act and, from 25 May 2018, the General Data Protection Regulation (GDPR) (Regulation (EU) 2016/679) and the Privacy and Electronic Communications Regulations 2016 (PECR). Any personal information supplied by you to EMGS will be kept on file. We will always store these personal details securely and delete them once they are no longer relevant with the exception of consent removals. A skeletonised record of members’ name and addresses will be kept for historical purposes.
Members
When you fill in Membership Application (or Membership Renewal) and Gift Aid forms you are asked to provide EMGS with some Personal Data. We will also ask you to consent to which ways you wish EMGS to communicate with you. You can Contact Us to opt out of any/all of our communications at any time.
We will use the data to provide the service that you expect as a result of your membership of EMGS and will communicate with you in the way(s) you have agreed to. The data we hold will be used to send you newsletters, notice of lectures and field trips, event registration, subscription information, geological news and geological events held by EMGS and other geological organizations, your copy of Mercian Geologist and AGM information. We will also use it to apply for Gift Aid.
EMGS will only allow your information to be used by others working on our behalf and will only share them if required to do so by law. We will never share your information with other companies or charities for marketing purposes.
Website forms
Our website uses several online forms for general email queries and event registration. These forms request your name and email address. We store this information to enable us to respond to your queries and to circulate essential information and instructions to event participants. It is not used for any other purpose. You may request us to delete this information at any time via a deletion request (see below).
Access and deletion requests
You have the right of access to a copy of the information EMGS holds about you, subject to proof of identity. Please Contact Us if you require this information. You can also request data deletion using this service.
